The In-House Counsel Women Network (ICWN) respects your privacy and seeks to handle personal information responsibly, transparently and in accordance with applicable privacy laws.

This Privacy Notice explains what personal information ICWN collects, why we collect it, how we use it and the choices available to you.

The In-House Counsel Women Network is a professional network for women working in in-house legal roles.

Information we collect

When you apply to join ICWN, contact us or ask us to update your details, we may collect information including:

  • your name
  • email address
  • job title
  • company or organisation
  • city
  • state, province or region
  • country
  • preferred ICWN Chapter
  • LinkedIn profile, if provided
  • telephone number, if provided
  • WhatsApp username or number, if provided
  • your ICWN event photography preference
  • information you provide when corresponding with ICWN

We seek to collect only information reasonably necessary for the operation of the network.

How we collect information

We generally collect personal information directly from you, including when you:

  • submit an ICWN membership application
  • submit an update to your details
  • contact ICWN
  • communicate with us in connection with ICWN activities or events

Membership application and update forms submitted through the ICWN website are transmitted by email to ICWN.

The ICWN website does not maintain an online member database.

Approved member information is maintained separately by ICWN for the administration of the network.

Why we use your information

ICWN may use personal information to:

  • assess membership applications
  • maintain the ICWN member list
  • communicate with members and applicants
  • organise and communicate about ICWN Chapters and activities
  • administer ICWN events
  • respond to enquiries
  • maintain accurate member contact information
  • manage photography preferences
  • support the operation and development of the network

We will not use your personal information for unrelated purposes without an appropriate basis.

Membership applications

Submitting a membership application does not automatically make you an ICWN member.

Applications are reviewed manually by ICWN.

If your application is approved, relevant information will be added to ICWN’s separate master member list.

If an application is not approved, ICWN will not add the applicant to the member list.

ICWN may retain limited information about an application for a reasonable period where necessary for administration, correspondence or legal purposes.

Ashurst Perkins Coie and other third parties

ICWN may provide members with links to events, services or registration pages operated by third parties.

For example, certain ICWN events may use an external Ashurst Perkins Coie registration page.

Where you choose to register through such a third-party service, you provide your personal information directly to that organisation and its own privacy policy applies.

ICWN does not collect Ashurst Perkins Coie’s marketing preferences or event-registration information on its behalf.

ICWN does not sell personal information.

Photography

When applying to join ICWN, you may choose whether you consent to ICWN taking and using identifiable photographs of you at ICWN events to communicate and promote the network and its activities, including through the ICWN website, LinkedIn, WhatsApp and ICWN communications.

This choice is voluntary and does not affect membership or attendance at ICWN events.

You may change or withdraw your ICWN photography preference at any time by contacting: hello@icwna.com

ICWN photography consent applies only to ICWN. Other organisations are responsible for obtaining any consent or other authority required for their own photography and use of images.

Service providers and international processing

ICWN may use technology and service providers to operate its website, email and communications.

This may involve personal information being processed or transmitted using infrastructure located outside the country in which you live.

ICWN seeks to use reputable providers and appropriate safeguards having regard to the nature of the information and applicable privacy requirements.

Data security

ICWN takes reasonable steps to protect personal information against loss, misuse, unauthorised access, modification or disclosure.

However, no method of electronic transmission or storage can be guaranteed to be completely secure.

Retention

ICWN retains personal information only for as long as reasonably necessary for the purposes for which it was collected, the administration of the network, and any applicable legal or record-keeping requirements.

When information is no longer reasonably required, ICWN will take reasonable steps to delete, destroy or de-identify it where appropriate.

Access and correction

You may ask ICWN to provide access to personal information it holds about you or to correct or update your information.

  • update or correct your personal information
  • withdraw an optional consent
  • ask how your information is being used
  • request deletion of information where appropriate

We will consider the issue and seek to respond within a reasonable period.

International members

ICWN is an Australian-founded network with members who may be located in different countries.

Privacy rights and obligations may differ depending on where a member is located.

Where additional privacy rights apply under applicable law, ICWN will seek to respect those rights.

Changes to this notice

ICWN may update this Privacy Notice from time to time to reflect changes to the network, its practices, technology or applicable law.

The current version will be published on this website with its most recent update date.
